A rejection does not always mean your carrier is unqualified
Freight brokers may apply company-wide or shipper-specific screening rules. A new authority can meet legal operating requirements and still fail to match a broker’s own onboarding policies. The reason matters because some issues are fixable while others require time or a different freight partner.
1. Your authority is newer than the broker allows
Some brokers have minimum authority-age rules. There is no universal 90-day waiting rule for all brokers. Ask the broker whether the restriction is firm for that customer and when you can request a new review.
2. Insurance does not match the load
Check the requested liability and cargo limits, commodity exclusions and any special endorsements. A broker may require coverage above federal minimums. Contact your insurance professional rather than modifying coverage language yourself.
3. Contact or identity information cannot be verified
Business-name variations, outdated numbers or suspicious email domains can complicate onboarding. Keep official records consistent and confirm that broker requests come through verified channels. Never share passwords or one-time verification codes with an unsolicited caller.
4. Equipment or operating profile is not a match
A broker may need a particular trailer length, weight capacity, safety history, tracking service or geographic operating area. Even a suitable load posting may have customer restrictions not stated in the headline.
5. Missing forms slow down approval
An incomplete W-9, expired COI or unanswered onboarding request can delay approval. Save a current packet, verify renewal dates and keep a checklist for each broker’s requirements.
How to respond professionally
Ask which specific condition you did not meet, whether it can be corrected, and when you may reapply. Keep a record of the answer. If a broker cannot onboard your authority today, redirect your search toward currently compatible opportunities.
What RGI Dispatch can help with
Dispatch support may help carriers organize search criteria and ask brokers the right questions before beginning lengthy setup processes. Broker decisions remain independent and cannot be guaranteed.
